A-B

About box

The About box 🖼️ is a small informational section in the control panel (browser only), below the calendar list and filters. The About box can contain text, links, and emojis and can be customized by the calendar administrator.

Access permissions

Access permissions determine what someone can see and do on a sub-calendar. Permissions are set by the calendar administrator for each user (account-based access) or shareable link (link-based access). Teamup supports nine different access permissions.

Account-based access

You can provide access to your calendar by adding a user. This requires the user to set up (or have) a Teamup user account, which provides more security than link-based access. Teamup users have a globally synced calendar dashboard, which automatically syncs across devices and platforms when they are logged in.

Account user URL

An account user URL is specific to the account user and cannot be used by anyone else. It has /c/ followed by the calendar id and ends in the calendar title. Account user URLs do NOT contain a calendar key and cannot be used for setting up integrations.

Administrator

The calendar administrator is someone with administrator access, which is the highest permission level. It is the key to the “control center” of your calendar. The calendar settings can only be accessed in a browser with administrator-level access.

API

The Teamup Application Programming Interface (API) enables software programs to interact with Teamup Calendar. Using the API it is possible to create custom integrations between Teamup and other systems and applications.

App

The Teamup app (iOS, Android) allows you to easily access Teamup calendars from your mobile device. If you are new, first use a web browser to create and configure the calendar you need. It will appear on your dashboard automatically and you can access it from the Teamup app.

App settings

In the Teamup app, open the left sidebar and tap the gear icon to access Teamup app settings for app-specific configuration options. You can also view/copy the calendar URL or remove the calendar from your dashboard. Note that app settings only affect the Teamup app. Full calendar settings are only available on a browser.

Attachments

The Attachments field is a dedicated event field for images, documents, and files. After uploading a file to the Attachments field, you can then choose to insert it into the Description field, if desired.  You can upload multiple files and show or hide the list of attachments.

Branding

Your Teamup calendar can be customized to match your color scheme, logo, and other branding elements. You can also customize the look and feel of embedded calendars using Teamup’s Embed Wizard.

Browser

Teamup is a cloud-based group calendar application, accessed via a web browser. The companion Teamup app (iOS, Android) is used on mobile devices. The calendar settings and related functionality (managing users, configuring calendar options) are only available via browser, using Teamup’s web client.

Calendar access

With Teamup, you can share a calendar through account-based access or link-based access. No matter which method you use, you always have control of what people can do with your calendar with customized access permissions.

Calendar duplication

The calendar duplication feature allows you to “copy” the basic structure of an entire Teamup Calendar: the sub-calendar structure and basic configuration. Then you can adapt the duplicated calendar for your own use.

Calendar key

A calendar key is a specific portion of a unique, shareable calendar link. A shareable calendar link will have /ks followed by a 16-digit alphanumeric string. The calendar key is the portion of the link starting with ks.

A shareable calendar link is a type of calendar URL which allows you to provide calendar access to an individual who is not a user or to groups outside your organization. You can also use links to embed Teamup or provide secure public access to your calendar.

Calendar settings

The calendar settings are the “control center” for the calendar. They are only accessible on a browser (not in the Teamup app) to authorized calendar administrators. Within the settings, you can add users and groups, control calendar access via users and links, set up passwords and configure the calendar.

Calendar URL

A calendar URL is a unique hyperlink which grants customized access to a specific Teamup master calendar. The calendar URL may be a calendar link or an account-user URL. One Teamup master calendar may have many URLs.

Calendar views

A calendar view is the layout for your calendar data. You can switch between calendar views by using the view picker in the top right of your calendar (browser, 11 calendar views) or from the left sidebar (app, 4 calendar views).

Change notifications

Teamup change notifications allow calendar users to be notified when changes are made to events on the calendar. To subscribe to notifications or to modify your notification preferences, you must be logged into your Teamup user account. Calendar administrators can also create and manage notifications.

Color coding

One of the most visible characteristics of Teamup is color-coded events. The primary color-coding system is the sub-calendars, which can be used to group people, resources, spaces, jobs, etc. You can choose from 48 colors which can be assigned to sub-calendars.

Comments

Event comments enable discussions and notes on events. They are automatically time-stamped and listed in chronological order. You can upload files and images to comments.

Control panel

The control panel is on the left-hand side (browser). It contains the date picker, calendar list, built-in filters,  and About box. You can collapse (hide) the control panel for more screen space. In the Teamup app, the left sidebar functions as the control panel.

Copy

Right click any event to open the context menu. The Copy to option replicates the event exactly as is to a different time/date. You can also use drag-and-drop to quickly copy or duplicate events in certain calendar views.

Custom fields

You can create custom event fields to capture information on your Teamup calendar. There are three custom field types: Single-line text entry fields, number fields, and choice fields. Choice fields can be single choice or multiple choice. The number of custom fields you can create varies by pricing plan.

Daily agenda

The daily agenda from your Teamup Calendar is a summary, sent by email, of all the events scheduled for the day. This is an optional feature available on any paid subscription plan.

Dashboard

The calendar dashboard is your central location for all your Teamup calendars. You don’t have to bookmark separate calendar links. It remembers all your calendars for you in one place. It is accessible from a browser and from Teamup mobile apps, and will stay synced between devices.

Data

The data on a Teamup calendar includes what you see on the calendar: the sub-calendars and their events, including event field contents, attachments, signups, comments, and so on. Calendar data can be exported. Calendar data and calendar access are handled separately by Teamup. Removing someone’s calendar access will not affect the calendar data they created or modified. Date picker

The date picker is a small monthly calendar that allows you to move quickly to any desired date. In a browser, it’s at the top of the control panel. A pop-up date picker appears when you click the date range in the top bar. In the app, swipe down from the blue title bar to reveal the date picker.

Double bookings

To prevent double bookings, use the option to disallow overlapping events. The setting applies within one sub-calendar only. Events from different sub-calendars will be allowed to overlap.

Duplicate

Right click any event to open the context menu. The Duplicate option opens a new copy of the event so you can change the sub-calendar or other details. You can also use drag-and-drop to quickly copy or duplicate events in certain calendar views. See also: Calendar duplication.

Email notifications

Teamup email notifications allow users to be notified, via email, when changes are made to events on the calendar. Any calendar user can receive email notifications. Only account users can subscribe to or modify email notifications.

Embed

You can embed Teamup Calendar using iFrame code or a secure calendar link. Customize the look of the embedded calendar by choosing the options in the Embed Wizard or appending link parameters to the URL for embedding.

Event duration

When you create a new event, you can set the duration of the event (the amount of time the event covers from beginning to end). You can also set and adjust the default event duration for your Teamup calendar.

Event editor

When you add a new event to your Teamup calendar, the window that opens is called the event editor. In the event editor, you can customize the details of your event, set details for scheduling and recurrence, and upload images and files.

Event fields

Event fields are fields on the event editor where you can include various types of information for the events on your Teamup calendar. The event fields show in the event editor below the calendar selection. There are certain default event fields which can be configured. You can also create custom event fields.

Event history

The edit history of any event includes who created an event, when it was created, and when and who last modified the event. This information is available in the event editor/viewer. It is also visible on the event page.

Event page

An event page is a unique, stand-alone web page that can be automatically created for any event on your Teamup calendar.

Event reminders

Event reminders are notifications sent by email to remind you of an upcoming event. Event reminders are available only to users logged in with a Teamup user account.

Event sharing

Each event on a Teamup calendar can be shared via the Share menu and made accessible to users who otherwise may or may not have access to the calendar. The Share menu includes all sharing options enabled for the calendar such as event page, add-to-calendar links, social media, email, and export.

Event viewer

When users with read-only access opens an event, they will see an event viewer. The event viewer contains the appropriate level of event information but is not editable.

Export

Teamup supports the export of single events to other calendar services that support the iCalendar file format (.ics). Calendar administrators can use the bulk export feature to export calendar data, including events, event signups, and/or event comments to a file.

File uploading

You can upload files, images, and documents to an event both in a browser and the Teamup app. There are three fields where you can upload files: in the Description field, in the event comments, and in the Attachments field.

Filters

Filters are built into Teamup and allow you to view only events that match certain criteria. Teamup supports filtering by keywords, by sub-calendars, and by custom event fields in a browser and in the Teamup app.

Folders

Folders are a way to group sub-calendars and to create an organizational hierarchy for them. Folder organization makes it easier to find the sub-calendars you are looking for, or to work with only a group of sub-calendars.

Historical data

Teamup automatically stores historical data: events in your calendar that are in the past. Your subscription plan determines how much of your historical data you can access. See the pricing page for details. You can upgrade at any time to instantly gain access to more of your historical data.

iCalendar feeds

iCalendar feeds allow you to view calendars from other services like Google Calendar or Outlook in Teamup (inbound feeds) or to set up a feed from Teamup to other calendar applications (outbound feeds). You can also set up a feed between two Teamup calendars.

Import

Teamup supports the import of events from other calendar applications, spreadsheets, databases, and text files. Currently, supported import formats are iCalendar files (*.ics files) and CSV files (text files with comma-separated values).

Integrations

Teamup provides many integration possibilities to automate tasks and connect your tools: iCalendar feeds for syncing with other calendar services, Slack integration, Trello power-up, Zapier integration, and Teamup API for custom integrations.

You can provide access to your calendar by creating a shareable calendar link. Others can then access the calendar via that link. You can also customize a secure shareable calendar link to embed a Teamup calendar.

Calendar link parameters allow you to overwrite global settings when appended to a calendar link. Use them to customize the look and feel of an embedded calendar or overwrite certain default settings for a customized configuration.

Live demo calendars

Live demo calendars with pre-populated demo settings and events let you test drive Teamup in different scenarios. All live demos have advanced features enabled for 7 days. Live demo calendars are scheduled for deletion automatically: don’t use them for your actual calendar. Create your own Teamup Calendar instead.

Master calendar

When you create a calendar or launch a live demo calendar, you are creating a master calendar and you are the administrator of it. Your master calendar, which gives you access to Settings and allows you to create new sub-calendars, needs to contain at least one sub-calendar.

Mobile access

You can access Teamup on mobile seamlessly via the Teamup app. You can also open Teamup in a mobile browser or set up outbound iCalendar feeds to view a Teamup calendar in another calendar service on your mobile device.

One-to-many

With Teamup Calendar, you can assign an event to multiple calendars. You can choose how these events are displayed: with striping or shown in multiple boxes.

Calendar admins can add password protection to a calendar link, and change or reset the password for a calendar link. Important! The password for a calendar link is not the same as a user account password.

PDF

With Teamup Calendar, your calendar data, including all the event details, can be exported to a PDF document for local reference or offline access to calendar data.

Print

To print from your Teamup calendar, switch to the needed calendar view and date range. Then select the Print & Export PDF option from the menu (top right) or use your browser’s built-in print function.

Printable

Teamup provides a collection of free blank printable calendars you can download, print, and use as needed. You can also generate your own customized blank calendars using our widget or live demo calendars.

Recurring event

recurring or repeating event is any event that occurs in a series. Rather than creating an event multiple times, you can use the Repeats menu to create and customize recurrence patterns for any event.

Refresh rate

For inbound iCalendar feeds, the source is refreshed periodically by Teamup to keep the feed updated. You can set the refresh interval for each iCalendar feed from the available options.

Resolution

Teamup supports a configurable calendar grid time resolution for views with a time grid. Calendar administrators can set a default time resolution, but any calendar user can adjust the resolution while using the grid views.

Settings

The calendar settings are only accessible on a browser to administrators. App settings are distinct from calendar settings and available in the Teamup app’s left sidebar.

Signups

Teamup supports event signups on a browser and the Teamup app. You can enable signups for any individual event or by default for all events on the calendar. If signups are enabled, anyone with access to the calendar event can sign up with their name and email address.

Sub-calendars

Individual sub-calendars are contained within your master calendar. You can create multiple sub-calendars, color-code them, and organize them in folders. You can delete, modify, deactivate, and share sub-calendars, as you wish.

Subscription

Teamup can be used as a free service as long as you like or you can upgrade to a paid subscription. Each subscription plan includes a different amount of sub-calendars, custom fields, account users, and varying access to features such as password protection. A subscription applies to one master calendar.

Templates

Sometimes the hardest part of getting started is making those initial decisions. Calendar templates make it easier. Each template in the Templates Library has a sub-calendar structure and basic configuration (including custom fields) you can duplicate and use as the basis for your own calendar. With calendar duplication, you can use your own calendar as a template.

Time range

The time range determines the hours shown in the time grid. For example, the time range can go from 6:00am to 10:00pm. Or the time range can be set from 8:00am to 5:00pm, or from 12:00am to 12:00am (to show the full range of hours).

Time zone detection

Teamup provides flexible time zone support with automatic time zone detection and event time zone conversions. The time of all events on the calendar is relative to the displayed time zone.

Time zone indicator

The time zone indicator is the indication of which time zone the calendar is currently displaying. You can change the time zone easily by clicking on the time zone indicator.

Two-factor authentication (2FA)

Two-factor authentication adds a second layer of verification to the login process for better security. Teamup currently supports authenticator apps and backup codes as the source for 2FA codes. You can enable 2FA in the user profile of your Teamup user account.

User account

Teamup user accounts provide a central place for accessing all your Teamup calendars, both those you created and those that have been shared with you. Teamup user accounts are always free for individuals.

User menu

Once you have created a Teamup user account, click on your avatar to access the user menu which includes Dashboard, Profile, Connected Devices, and Notifications.

User profile

With a Teamup user account, you have a user profile which you can customize: Change your avatar, edit your name, add secondary email(s), change primary email, and change default language. You can also subscribe to Teamup’s newsletter, manage two-factor authentication, and permanently delete your account.
