Manage Calendar Links

With Teamup, the primary way to share a calendar is through account-based access. You can also create shareable calendar links that are appropriate in some scenarios.

Links are a way to give temporary access to your calendar to an individual outside your organization, to share your calendar with a large group, on social media, or with the public. You can use a link to embed Teamup on your own website, too. 

Calendar links are not tied to an individual and do not require a login. Since anyone can access the calendar via a shareable link, be very careful to set the appropriate permission (read-only is the recommended default).

Each calendar link is uniquely represented by:

  • A unique URL. Each calendar link contains a long randomized strand of letters and numbers. This makes it invisible to search engines.
  • The calendar view for each link always shows a list of shared sub-calendars for the specific user or user group; a small lock sign icon precedes all read-only calendars.

Share calendars with account users

Shareable links are quick and convenient but less secure than account access. If you or others on your team are using shareable calendar links to access the calendar, we recommend switching to account-based access.

  1. Open Teamup in a browser and go to Settings > Sharing
  2. Click Add User.
  3. Expand the Link section and click Add.
  4. Name the link clearly and configure access, then Save.

All or selected calendars

In the Calendars Shared section, you can choose All calendars or Selected calendars from the drop-down menu.

  • If you choose to share All calendars, you will set one permission for all the calendars. Remember to set a secure permission such as read-only, read-only no details, or add-only. 
  • If you choose Selected calendars, you will set the permission individually for each sub-calendar. For any calendar you do not wish to include in the link, set the permission to Not Shared.

Permission levels

Since calendar links can be used by anyone (no login required), it’s very important to choose an appropriate permission. Read-only is the recommended permission for calendar links. 

Most secure

  • Read-only: View calendar events including details but can not make changes.
  • Read-only, no details:  View calendar with events marked as reserved time blocks but no further event details.  No changes are allowed.

Allow user-submitted events

  • Add-only: Allows adding new events, can only read but not modify any existing events.  Newly added events can be modified only during the current browser session (up to approximately 30 minutes).
  • Add-only, no details: Same as Add-only but the details of any existing events are hidden (marked as reserved).

Use with caution

  • Modify-from-same-link: Add new events and modify any existing events that are created via the same link, but can only read and not modify any existing events created via other calendar links.
  • Modify-from-same-link, no details: Add new events and modify any existing events that are created via the same link, but the details of any events created by others will be hidden (marked as reserved).

Once a link is created, you will see the link listed in your Sharing screen. 

This list on the Sharing screen includes not only links but also account-based users and groups. The shareable links are designated by a green link symbol. Use the filter above the list to see Links only or another type of access.

Embed a calendar

Create a secure link (with read-only permission) and name it appropriately. 

Then go to the Integrations section of Settings. Click Embed Wizard. Select this link from the menu and then customize the look and feel in the Embed Wizard. Copy the resulting iFrame code or URL to use in your website’s HTML editor.

Public access

A secure shareable calendar link can be used to share an events calendar publicly or with a group. You can copy the link to share on social media, in a newsletter, etc. 

Temporary/limited access

Secure shareable calendar links can be useful when providing limited or temporary access to the calendar to people outside the organization. For example, it can be helpful to set up a read-only link to show project progress to a client. Be sure to set the permissions appropriately so only appropriate information is included and the client cannot make changes to the calendar.  

  1. Open Teamup in a browser.
  2. Click the blue menu (top right).
  3. Select Settings
  4. Go to the Sharing tab. 
  5. Click on the edit icon next to the link you want to delete.
  6. Scroll to the Calendars Shared section and adjust as needed. 
  7. Click Save.

  5. Locate the link in the Sharing list. 
  6. Click the toggle next to the link from green/√ to red/X. This will deactivate (but not delete) the link. The link will not be usable while it is deactivated.
  7. Click the toggle back to green/√ to reactivate the link.

  3. Select Settings
  4. Go to the Sharing tab. 
  5. Click on the edit icon next to the link you want to delete.
  6. Choose Delete from the button group on the Edit Link screen. On the next screen, confirm to delete the link permanently.

Important security notes

If you created your Teamup calendar prior to September 2020, you may have administrator access via a calendar link rather than account-based administration.

For security purposes, we highly recommend switching to account-based administrator access only. Here’s how.

Once you have granted administrator access to the appropriate person via their user account, immediately delete any calendar links with administration access.

Prevent unwanted access

Delete any links that have been shared or exposed to unauthorized parties. Deleting a calendar link does not delete any calendar data; it only prevents access to the calendar via the link that was deleted. 

While shareable calendar links provide convenient access that does not require a login, this convenience means that anyone can use a link to access the calendar. Be careful with using shareable calendar links and be sure to set a permission appropriately for each link (read-only is the default recommendation). Choose account-based access for better security, especially for calendars that contain confidential information.
