Master Calendars and Sub-Calendars

A Teamup master calendar is the whole calendar. Sub-calendars are the individual calendars inside it. A master calendar needs at least one sub-calendar, and can scale to as many sub-calendars as needed.

What is a master calendar?

Think of a master calendar as an office building. The administrator owns it and controls who gets in. Each sub-calendar is like a separate office inside the larger building. The administrator manages access to every office (sub-calendar) and can also add, reassign, or remove individual offices inside the building. 

Creating a new Teamup calendar creates a master calendar, and the person who creates it becomes the calendar administrator.

What is a sub-calendar?

Sub-calendars are the individual calendars inside a master calendar. The administrator can add sub-calendars up to the limit of the master calendar’s subscription. In the diagram above, Area 1 shows the color-coded sub-calendars in a master calendar; Area 2 shows their events.

Each sub-calendar can be:

  • Color-coded
  • Organized in folders
  • Deleted or deactivated
  • Modified
  • Shared on its own

Calendar access

To set up calendar access for others, the administrator adds individual users to the master calendar.

When adding a user, the administrator selects the sub-calendars that person can access and assigns their access permissions, which control what they can see and do on each sub-calendar.  A user’s access can be changed or removed at any time.

The administrator can also create a shareable calendar link in order to provide temporary calendar access to someone outside the organization, to share the calendar with a large group, or to embed the calendar on a website. When creating a calendar link, the administrator selects the sub-calendars to include in the link and assigns the access permissions. Read-only is the recommended default.

Note: Master calendars don’t link to each other directly. Organizations with several master calendars can bill them all on one consolidated invoice through an organization account.
