Using Folders for Sub-Calendars

A hierarchy of sub-calendars is helpful when you have a large number of sub-calendars. With Teamup, you can use folders to group and organize sub-calendars, setting up nesting hierarchies if needed.

Simply group the calendars that are in the same category into folders:

How to set up folders

You can create folders for your existing calendars without changing any event display.

Reminder: to access calendar settings, you must have administrator access and use a browser. Calendar settings are not the same as user account settings.

  1. Go to Settings > Calendars.
  2. Use a pointy bracket character (>) to define the hierarchy of folders and sub-calendars in the sub-calendar’s name:

Note that it is not necessary to define the intermediate nodes in the hierarchy (like the folder Receptionists in the above example). These nodes (or folders) will be created automatically.

Create nested folders

It is also possible to nest sub-folders within folders:

  • Staff > Finance > Megan
  • Staff > Finance > Walter
  • Staff > Sales > Brian
  • Staff > Sales > Mark

 

Show or hide calendars that are in folders

1. All calendars in a folder can be viewed or hidden by clicking on the arrow to the left of the folder name.

2. Clicking the folder name bar of an open folder will show or hide all calendars within that folder without closing the folder.

3. Clicking on the eye icon to the right of a folder name shows that folder only and hides events on all other calendars.  The same works for the eye icon to the right of a calendar name.

4. To show only selected calendars in different folders, use the smart filter as described below.

5. To show all events on all calendars in all folders again, click “All” in the upper left corner.

Use the smart filter to locate specific calendars

A smart filter appears above the list of sub calendars when there are more than 12 sub-calendars.

This makes it easy to quickly locate any specific calendar you want to see, especially if you have dozens or hundreds of calendars in multiple folders.

Simply start typing the name of the sub-calendar in the smart filter:
